Travel and Accommodation

For approved volunteers

These are the usual policies for volunteer travel and accommodation.

1) Accommodation for non-Bangalore residents will be arranged by the FOSS United Foundation. Volunteer accommodations is generally for checkin a day before the conference and checkout a day after.

2) For travel reimbursements: -

  • Train (upto 2nd AC) / bus tickets: for travelling time less than 14hrs
  • Flight tickets will be considered only if train journey is more than 14 hrs
  • Maximum reimbursement amount is 10k per person
  • Reimbursements will be provided after the conference through the reimbursements form
  • Food and intracity travel is not included.
  • Add-ons for the travel (fast-forward checkin, in-flight meals, window/XL seats) are not included.
  • We will not provide travel reimbursements for volunteers who want to help out only on-ground.

Travel expenses will be reimbursed only for the active volunteers and we will be actively removing inactive volunteers from the group. You may let us know if you're going to be unavailable for a certain period or if volunteering gets too hectic, but we generally expect volunteers to give 4-5 hours a week to fulfill the workgroup requirements.

Please only make bookings after the team tells you to specifically. If you are not able to contribute actively, we will have to decline your travel reimbursement (accommodation will still be provided). These restrictions help us ensure IndiaFOSS is financially sustainable for FOSS United while also helping the volunteers attend the conference without spending a huge sum.
