Hosting Events¶
What type of events can we host?¶
You can host any event that aligns with the principles of the Digital Commons and avoids the promotion of proprietary software or ideologies. Whenever in doubt, get in touch with our program managers.

Where do I create an RSVP page for events?¶
We require events to use the FOSS United platform for event RSVPs. We are mandating this to ensure data privacy and that it doesn't get shared to other sponsors/partners without proper consent of the attendees and the foundation.

What is the process to organise an event?¶

Select a contribution idea. Feel free to come up with ideas outside of what's mention in the guide.

Find club members who can help with executing things on-ground.

Decide on a date for the event.

Talk to your faculty coordinator and get a venue to host your event.

Add your event to the FOSS United platform. We mandate the use of our platform for RSVPs for events that we support.

Book a call with our team to discuss the plan. This is not for the team to approve or reject your plan but to sit with you and find ways to support your event. Feel free to book as many calls as required.

Plan out the day-of in detail. Make sure to write down hourly tasks with specific owners assigned.

Go through the Incidents Response Checklist and make sure all the volunteers are made aware of it.

Ensure you include a dedicated slide in your opening ceremony deck that displays the link to the Code of Conduct.

Run an awesome event! Make sure to click pictures and take notes throughout the event.

Answer the post-event questionnaire and share it on the FOSS United Forum by making a thread specifically for your club. Check out this example by Mukti - A FOSS Club in Bengaluru.
While we want you to be making the decisions, our team is around to help with planning and execution of events.
What after we organise an event?¶
After organising an event, core members are expected to:
- Share a brief report on the forum using post event reporting questions.
- Book a follow up call with out team for a quick debrief.
This helps future club members and assists FOSS United in providing better support.
Brand guidelines¶
FOSS United maintains brand guidelines for consistency across all clubs:
- Use the provided official FOSS Club logos
- Follow specified color schemes and design templates
- Maintain logo integrity without unauthorised modifications
- Acknowledge FOSS United support in events and communications

What is FOSS Hack?¶
FOSS Hack is the flagship hackathon organised by FOSS United. Unlike typical hackathons focused just on building new products, we emphasize contributing to existing open source projects. The format exposes students to real world open source development, working with established codebases, interacting with maintainers, and making contributions that persist. FOSS Hack runs for a month, bringing together community members from all over the country. FOSS United provides additional support for FOSS Hack events, including higher budgets and logistical assistance.
- Who gets to organize FOSS Hack?
The most active FOSS Clubs will get the opportunity to host FOSS Hack in-person at their college. FOSS United will decide this based on the number of events organized and your club's activity on the FOSS Club group and the FOSS United community. Selected organizers will receive up to ₹50,000 to conduct the hackathon.
